MEETING MINUTES

January 7, 2002, 9:30-12:00

Susan M. handed out copies of the draft guidelines and procedures for ISL.

INTRASYSTEM (ISL) LOAN GUIDELINES

  1. Page 1, IV. Fees:

    A. Articles $3.00 for each 50 pages.>

    Articles requested from UHM, fee is $3.00 for each 50 pages.  Articles
    requested from CC's no fee is charged.

      B. Audio-visual media & fiche $3.00 per item.

      $3.00 fee will be charged if request done with standard voyager form. Faculty or staff walk-in's no fee charged, but they will be charged if item is returned late.  Sinclair will send av media items via priority mail or UPS to neighbor islands and campus mail courier for oahu campuses. Unless campus specify the type of delivery service they want.

    1. Page 2, V. Responsibilities of Requesting Libraries:

      A. To ensure timeliness, items may be obtained through ISL rather than    through Recall or Hold.

      This would apply if your copy is currently charged out to a patron. Requesting through ISL might be faster (10 working days) than through Recall or Hold (14 working days).

      L. Renewal of ISL materials should be done directly by the patron through    their own account in Web Voyage.

    2. Page 3, VI. Responsibilities of the Supplying Library:

      A. The decision to lend materials or provide photocopies is at the    discretion of the supplying library.

      Example: Books from Hamilton's Hawaiian Collection will not go out if 1 copy of the book is available.  Need to have more than 1 copy of the book available for it to be sent out.

      B. The supplying library should process requests as promptly as staff    resources allow.  The conditions of the loan should be clearly stated    and materials should be packaged carefully.

      Supplying library should use own discretion when packaging materials.

          via OPAC.

      You can also check your account from the voyager circulation desk.

      Page 5-6 Requesting Library: (**Tips to Remember**)

      Before clicking on the Request button, make sure that you are in the bib
      record.

      For Books:  make sure to type in the comments field; Patron: [name] and
      Patron email: (see example).  Don't forget to specify the pick up location
      (your library circ desk).

      For Journal Articles:  make sure to type in the comments field; Patron:
      [name], Patron email:, Article [title & author] (per DeeDee's e-mail),
      Vol.:, No.:, Date:, Year:, and Pages: (see example).  Try as much as
      possible to fill in all the information required on the form.  If you
      forget anything, your request could be delayed.

      For Media (A/V, Videotape, DVD, CD, Kit, etc.):  make sure to use the
      standard voyager form and type in the comments field; Your campus:, Your
      patron's name:, Email: (contact person), Course name and number:, Use
      Date: (see example).  Specify pick up location (your campus name).  Check
      the bib record to be sure the media item circulates.  Some media items are
      for Manoa campus only.  Manoa request has priority and the rest is on a
      1st comes 1st serve basis.  If media request can not be filled, requesting
      library would be notified in 2-3 days.  Check the webct site to see the
      Fine Schedule for Media Scheduled Items.  A slip with the fine
      schedule will be on media items effective 01/14/02.


      Page 8, Receiving Items at the Requesting Library:

      Books & A/V Media:, item 1 Notify the patron and put on the item hold
      shelf for 10 day.

      Items on the hold shelf for books is 10 day and for media is 3 days.


      2.  Susan M. handed out a disk to each campus rep. Disk contains the
          mailing address labels to use.  Thank you Llyle (KapCC) for doing
          this.  Please correct the address for UH West Oahu.  Address should be
          96-129 Ala Ike.

      Meeting adjourned 12:02 pm.  Depending on what situations/issues occur
      during the semester, a meeting might be scheduled at the end of Spring
      semester.
