MEETING MINUTES

August 14, 2003

  1. ArielDoc Review: DeeDee did not bring the information regarding the problems with this database. Group found out that article requested from UHM will be sent via an email message to the requesting library ISL email account. Within this email you will find the url web site, login name (honcirc@hcc.hawaii.edu) and password (hcc isl). Each site has the option to print out the article or send it as an attachment to the requestor (patron).

  2. Posting Fee to Patron accounts: Circ group decided - NO on this issue. UHM will not longer charge the $3.00 ISL & ILL article fee to any patron or requesting library. Hilo will still charge $3.00 articles through ILL.

  3. Distance Education Students: Shellie will revise the lending policy to show who passes the fee to faculty, staff & students and charges for articles & media.

  4. Manoa Hawaiian Pacific Loans: This collection at Manoa is currently set for a 28 day loan period, which is wrong. It should be a 14 day loan period because this is a special collection. Fred will check with Andrea on the matrix set-up.

    Hilo came across this problem when charging out a Haw/Pac book from Manoa. Since they knew that this item in question was for a 14 day loan period with no renewals, they modified the due date. Because the matrix is set-up wrong, the patron will be able to renew the item 6 times and have the 28 day loan period.

  5. Voyager Request Form: DeeDee did not bring sample forms. Group will still use the same (bib record) form on the web.

  6. Patron Placed Holds: This issue is pending further discussion by the circulation committee.

  7. Other issues: ISL group will propose to the Library council that the ISL $3.00 fee for articles be eliminated. This would eliminate the other sites that may charge the requesting library. If some sites want to charge their patron that is requesting for the article, they may do so. If some sites want to charge their patron, should the amount be the same system-wide? Up to how many pages would the cost apply to? If the article is more than the minimum pages allotted, how much more would they have to pay? Should we be consistent as a system when charging patron.

    Hilo had a total of 700 article requests for the 2002-2003 Fiscal year. They charge their patrons a $1.00 fee (per article) upon pick-up of articles. 10 item limit per requester, per site may be a problem. Group will propose charging a $1.00 fee for articles not picked-up and omit having a limit. Not sure how this will work.
