A lot of time is spent tracking down requesting patrons who have not input a valid email or phone number into the Voyager form. It was asked whether it was possible to have these submissions rejected by Voyager. Unfortunately the answer is no. However, the information in the Voyager patron table should contain valid email addresses because it is loaded from Banner, so we can look up the information if need be from there. DeeDee will also add the following to the ISL Guidelines web page and see if she can also add it to the Voyager request form: "Invalid contact information may result in significant delays in processing your request.
We revisited this popular item. Since there is no consensus on whether or not to charge for items not picked up, DeeDee will add the following statement to the ISL Guidelines web form and see if she can also add it to the Voyager request form: "You may be charged to items not picked up." Those who wish to do so will also add a pop-up note to the patron record so that when the patron borrows a book, the circ person can let them know that they did not pick up an ISL item and that this is very time consuming.
There is no way to get Voyager to automatically reply to the requester. UH Manoa does not use the auto-reply feature of UHUNIX because of the problems created by bad email addresses. The bad email addresses may not even be bad, just sent from within the library where they have the domain as "microsomething.hawaii.edu" instead of "hawaii.edu". There was no other recommendations or suggestions.
Because the way the Voyager matrix is currently configured, patrons are allowed to renew UH Manoa Hawn/Pacc loans. To prevent them from doing this (they should only get a 2-week, no renewal loan), the borrowing library needs to charge the item 5 times at the time of charge to the patron. We will continue to use this procedure until a new patron type can be established that will eliminate the need for it (see below).
Fred Allen recommended that a new patron type in Voyager be created that will be called something like "ISL/ILL Patron". The new patron type will have only a two-week, no renewal loan for UH Manoa Hawn/Pacc loans. UH Manoa will also use this patron type to loan to other non-UH libraries via ILL.
Fred will work with DeeDee to also change the 2-digit departmental patron record matrix for a shorter loan period. DeeDee thinks this will help get materials not picked up back in a more timely fashion since courtesy notices will be generated much, much sooner. DeeDee will check with the UH Manoa Preservation Department to see if they need such a long loan period before making any change.
Some patrons have unrealistic need-by dates for ISL requests, especially at the end of the semester when the workload is heavier. DeeDee will add yet another section to the ISL Guidelines web page in a prominent fashion that reminds potential requesters of this. She will also add the info to the Voyager request form, if feasible.
It was asked whether or not we ought to charge for large photocopy orders. UH Manoa says yes. However, this recommendation would have to go to the Library Council for approval. DeeDee also recommends that the maximum number of pages before charging $3 should be 20, not 50 as it currently states in the ISL Policies. Reestablishing charges may necessitate the submission of requisitions again. DeeDee will find out if we can use the requisitions submitted for postage charges so that new ones do not have to be cut.
Shellie is leaving us (boo hoo) and so DeeDee has volunteered to take over the task of keeping the ISL contacts and policies list up to date. These lists are uploaded to webct.
The next ISL meeting will once again be held in conjunction with the Voyager Circ meeting. The date and time is Thursday, February 19th at 1:00 PM, UH Manoa Law Library. This will NOT be a telemeeting!
