INTRASYSTEM LOAN (ISL) PROCEDURE

 

 

GENERAL INTRASYSTEM PROCEDURES

 

o       Submitting a request does not guarantee availability of the item.

 

o       Requested items should be processed and delivered within 10 days.

 

o       Overdue notices are generated from the LAST point of checkout. So, if an item that belongs to Kauai but is sent to Hilo which Hilo checks out to the patron -- that overdue notice will generate with the Hilo address and location as UH Hilo Circ desk, but with the Kauai item barcode number.

 

o       Due dates will follow the SUPPLYING library’s policies.

 

o       To check the status of an item, check "Your Account" online via Voyager. Enter your library’s 2-digit barcode in the UH Number field.  Enter your password and ISL as your last name.

 

o       Books should be checked out directly to patrons. Supplying library should keep its own pending files and insert request slips into each item.

 

REQUESTING LIBRARY:

 

1.       Search Voyager and locate the item you are requesting.

 

2.       Click on the Request button.

 

3.       Enter your library’s 2-digit barcode in the UH Number field.  Enter your password and ISL as your last name.

 

4.      If the item is not available, the Requesting library should notify the patron.  The Requesting library may request Recall or place a Hold on the item.

 

5.      From the drop down box, select the form for the SUPPLYING library and click OK.

 

6.      Enter your library’s 2-digit barcode in the UH Number field.


 

7.      In the Comments field, enter the following information:

8.      Select YOUR library from the Pickup Location drop down menu.  (Distance Ed pickup location may differ.)

 

9.      Click the Submit Request button

 

For Media Bookings for Instructional Use (from UHM Sinclair Library Wong A/V Center)

 

1.      From the drop down box, select the UHM Audiovisual Class Showing Request.

 

2.      Enter your 2-digit barcode number in the UH Number field.

 

3.      In the Comments field enter the following information:

Your patron's name:

Your email:

Course name and number:

4.      All media must be picked up and returned to UHM Sinclair Library Wong A/V Center.  For delivery to your campus, media may be shipped via USPS and your campus is billed for shipping.

 

5.      Overdue fines are $1 per hour or fraction thereof.  

SUPPLYING LIBRARY:

 

1.      Print out the email and pull the requested item.

 

2.      For articles, scan and send via Ariel or as an email attachment.

 

3.      For books, charge out to the Requesting library.

 

4.      Insert or attach the printout to the item.

 

5.      For requests on same island, send via Campus Mail to the pick up location.

 

6.      For neighbor islands, send via Priority Mail (unless UPS or Fedex is requested).

 

7.      Requesting library is responsible for postage both ways. 

 

8.      Supplying library is responsible for billing.

 

 

RECEIVING ITEMS (REQUESTING LIBRARY):

 

Books & A/V Media:

 

1.      Notify the patron and place the item on hold for 10 days, unless specified otherwise by the supplying library.

 

2.      Charge the item to the patron upon pickup. The loan period will follow the policy of the Supplying library.

 

3.      Notify the patron that overdue fines will be assessed directly to their account.

 

4.      The Requesting library should return items to the Supplying library that have not been picked up within 10 days of the date of patron notification unless specified otherwise by the supplying library.

 

5.      Requesting library may impose transaction fees on patrons requesting loans.

 

Articles:

 

1.      Notify the patron to pick up the item and of any applicable fees.

 

2.      Place any manual fines on the patron record using the "ILL/ISL fee" and put the title of the article in the description.  This will generate an invoice that will be sent to the patron.
